Summary The Special Events Coordinator will manage Premium Event Rentals primarily held at the Richard L.
Postma Family Clubhouse & Tours held in Michigan Athletics Facilities, including Michigan Stadium, Crisler Center & Yost Ice Arena.
They also are responsible for coordinate facility contracts for premium & non-premium event rentals.
The Special Events Coordinator supports the overall efforts of achieving our goal of Exceptional Experiences for Every Guest.
Responsibilities Essential Functions Responsible for all aspects of booked rental events which includes:
(30%) Coordinating and working collaboratively with facility managers, events & facilities coordinator and Director of Special Events to ensure that necessary information is shared and collected in order to successfully host premium events.
Communicating with premium rental clients regarding room layout, University alcohol rules & regulations, fire marshal requirements as well as applicable State and Federal Laws.
Evaluating current methods and procedure in order to improve operations, create efficiencies and develop new and innovative ways to manage premium events.
o Coordinating parking Responsible for all aspects of the Michigan Stadium Tour Program which includes:
(30%) Manage daily tour requests to determine if requested day/time fits within Michigan Stadium and Crisler Center availability.
Leads a team of 6-10 tour guides & tour assistants including producing a weekly schedule of scheduled tours and assigned guides.
Oversees payment of all tour groups.
Continually evaluates and benchmarks Michigan Stadium tour program to make sure prices are competitive in the marketplace.
Prepares special and periodic reports on the tour program to continually improve and evaluate the state of the program.
Coordinate Facility Rental Contract Process:
(20%) Prepares and distributes facility rental contracts for all premium and nonpremium events.
Working closely with the Director of Special Events, Director of Operations & Event Management, Facility Managers, Business Office, and Lessees to collect and track the receipt of signed contracts, deposits, rental fees, and insurance as required.
Supervise & manage teams of up to 30 Event Team Members for premium events and stadium tours which includes:
(10%) Training, communicating and evaluating Event Team Member performance to ensure consistency of service standards across events.
This could include disciplinary issues as necessary.
Recruiting new Event Team Members to be part of the Premium Special Events Team Utilizing the workforce management software system to schedule and pay all Event Team Members.
This system will also be used to run Event Team cost reports Assist Operations & Event Management Office with assorted game-related tasks & projects.
5% Assist in creating and implementing a comprehensive marketing plan to help increase awareness of Michigan Athletics' Premium Rental Program.
5% Provides outstanding customer service to all internal and external customers through clear communication, responsiveness and innovative problem solving.
Other duties and projects assigned by the Director of Special Events Assure compliance with the NCAA and Big Ten rules as well as OSEH safety programs.
Assure compliance with University purchasing protocols.
Required Qualifications Bachelor's degree Required.
Master's Degree Preferred.
Knowledge of NCAA and Big Ten Compliance rules.
Ability to work nights, evenings, and weekends.
Expertise in Microsoft Word, Excel and PowerPoint.
Desired Qualifications 2
years working in Special Events/Event Management.
A working knowledge of Microsoft Office Application, specifically Word, Excel, PowerPoint.
A working knowledge of Social Tables, room diagramming software.
Experience using ABI or When2Work Scheduling Software.
