Position Function The WCC Sports Clerk is a specialized supporting role within the Department of Student Development and Activities at Washtenaw Community College.
This position is pivotal in supporting the operational and technical aspects of the WCC Sports and WCC Esports Offices.
The Sports Clerk will engage in the technical assessment of athletic and esports programs, manage academic eligibility, ensure compliance with liability protocols, maintain procedural documentation, and contribute to the development of training materials.
This role is integral to maintaining the department's commitment to operational excellence and aligning with the college's strategic initiatives.
The WCC Sports Clerk reports directly to the Manager of WCC Sports.
Essential Job Duties and
Responsibilities:
Assist in the assessment of athletic and esports programs by creating and implementing detailed surveys, conducting in-depth reporting, and analyzing program effectiveness.
Utilize Target X (Salesforce) CRM software to monitor the academic eligibility of all athletes.
Track and ensure that liability waivers are on file for all athletes before any physical participation.
Assist in maintaining and updating all sports procedural documents, including participant and staff handbooks.
Develop and maintain a database of equipment inventory; coordinate with coaches on supply needs.
Maintain a database of leagues and competitors for each sport; assist in scheduling and communication.
Contribute to the development and refinement of training materials for athletic and esports programs Act as a peer mentor to student workers, enhancing their skills and knowledge in sports management.
Plan, monitor, and assist in leading sporting events and tryouts, ensuring execution and support to coaches.
Support pre-event activities including planning, preparation, organization, check-in, and documentation.
Implement marketing strategies for sports programs, utilizing social media, flyers, and videos.
Maintain consistent communication within the Manager to provide updates and support needs.
Generate detailed team performance reports and results for all sports practices, scrimmages, and competitions.
Continuously enhance personal skills relevant to sports management and assist in the skill development of other staff members.
Related Job Duties and
Responsibilities:
Provide professional representation of the Sports Office, delivering outstanding customer service.
Efficiently handle office communications, including responding to emails and managing phone calls.
Organize, inventory, and maintain sports equipment and storage areas.
Perform various day-to-day office duties and maintain office coverage as required.
Work Environment:
The position splits its time between the WCC Sports Office, Campus Athletic Fields, and occasional local travel to athletic facilities for practices and competitions.
Physical requirements include the ability to handle sports equipment, set up events, and perform general office tasks.
Hours and Schedule:
Regular business hours with flexibility required for sports tryouts/events.
Availability during regular business hours:
Monday-Thursday 9 am-6 pm, Friday 9 am-4 pm.
Additional hours for sporting events:
Monday-Friday 3 pm-11 pm, Saturday, and Sunday 10 am-8 pm.
Minimum
Qualifications:
Minimum Required Knowledge, Skills and Abilities:
Must be 18 years of age or older.
High School Diploma or equivalent.
Excellent organizational skills for effective multi-faceted operation administration.
Strong customer service skills, attention to detail, and proactive problem-solving abilities.
Proficiency in written and business communication.
In-depth knowledge of online media, graphic design, and video technologies.
Proficiency in Microsoft 365, Google Drive, and the ability to learn new software and web apps.
Strong record-keeping skills, both digital and paper based.
Detail-oriented with forward-thinking and planning capabilities.
Highly motivated with the ability to work independently and maintain confidentiality.
Capable of multitasking in a fast-paced environment.
Excellent verbal communication skills and ability to interact with diverse groups.
Ability to present effectively in front of large groups.
Flexibility to work a consistent schedule, including evenings or weekends, to support sports practices and competitions.
Preferred
Qualifications:
Additional Preferred Qualifications Students (or recent graduates) pursuing a degree in Sports Management.
Experience in athletics management or a related field.
Understanding of community college students and their needs.
Experience in leading student development programs in a college setting.
Mentoring, teaching, or coaching experience with young adults.
Proficiency in assessment and report writing using metric data.
Knowledge of CRM's such as Salesforce and learning management systems such as Canvas.
